Set up personnel, service providers, and team access

By AACore Team

A receptionist may need to manage appointments without appearing as a bookable professional. A service provider may need to perform services without receiving every owner control. AACore Booking separates platform access from service eligibility so the setup can reflect the work each person does.

Understand the two role choices

  • Platform Role controls the person's access to management tools. The invitation form distinguishes choices such as Business Owner and Professional.
  • Service Role identifies whether the person performs services. A Service Provider can be assigned to appointments and appear in booking as configured. Non-service Staff is intended for work such as front desk, coordination, or management.

Choose both deliberately. Someone who handles customer calls does not necessarily need to be a service provider, and someone who performs a service does not automatically need full owner access.

Invite a team member

  1. Open Business Dashboard > Team > Personnel.
  2. Select Invite Personnel and enter the intended person's email address.
  3. Choose one platform role from the options in the invitation form.
  4. Set the appropriate service role and review the intended access.
  5. Select Send Invitation, then check the pending invitation or member status.

The Personnel area also provides member search, status controls, service permissions, and display order. Review which services a provider is authorized to perform; being a team member is not a substitute for correct service assignment.

Create or review permission roles

Open Roles and Access. Review an existing role or choose Add New Role, then enter its name, description, and permissions.

Permission groups separate actions such as viewing and managing appointments, services, customers, schedules, and settings. Give the role the access needed for its job. A Select All control should not be treated as the default choice for every team member.

Check the result from the person's perspective

After setup, confirm that the member has the intended status and permissions and, for providers, the correct service eligibility. If a tool is missing, check role and business context before changing unrelated settings.

For the tools staff use daily, see the Business Dashboard guide.
