Service quotes: from customer request to scheduled appointment

Some work needs a conversation before a business can agree on a price. A lawn care provider may need the yard details; a cleaner, mover, or handyman may need the job scope and location. Quote-based services in AACore Booking keep the request, conversation, and offer together.

This tutorial follows the complete workflow: customer request, in-app conversation, business offer, customer acceptance, appointment creation, and deposit status.
1. The customer submits the job details
Open the business's quote-based service or quote request action. Describe the work, enter the service address when relevant, and provide a preferred schedule. Add photos if the form offers them and they help explain the job.
Review and submit the request. A preferred date is a request, not a reserved appointment. Customers can follow the request in My Dashboard > Quote Requests.
2. Both sides clarify the scope in the app
Open the request and use Conversation for questions and replies. For example, a customer might ask whether lawn care includes removing grass clippings and tidying paths. The business can answer in the same request so both sides have the scope in context.
The business manages requests in Business Dashboard > Quote Requests. Check in-app activity and the notification emails received; do not use an email alone as proof that an appointment has been booked.
3. The business sends an offer
The offer can include a total, optional deposit, message, and expiry information. The customer should review the included work, amount, deposit conditions, and validity before selecting Accept offer and confirming.
4. The business creates the appointment
Accepting an offer does not automatically schedule the visit. From the accepted request, the business selects Create Appointment, chooses the date, time or arrival window, professional, and service address, then reviews the details before creating the appointment and notifying the customer.
If a deposit is required, check the quote-specific deadline and customer instructions. The saved appointment may show Pending Deposit. A business should record a deposit as paid only after actually receiving it.
Quote deposits and regular bookings are different
Quote-created appointments have their own deposit workflow. Do not assume the payment timeout configured for standard bookings applies to an accepted quote. Always follow the instructions on that appointment.
