Manage walk-in customers, phone bookings, and appointment history

Customers do not all start by registering online. Some call the store; others walk in. AACore Booking lets the business manage those appointments with customer records while also supporting verified accounts for customers who want to book and view their history themselves.

Book on behalf of a customer
- Open Business Dashboard > Appointments and use the appointment creation action.
- In Create New Appointment > Select Customer, search by name, phone, or email.
- Select an existing customer when you find the right record. Search before creating another record for the same person.
- If needed, choose New Customer. Enter the details required by the current form.
- Select the services, continue through the scheduling fields, and review the appointment before submitting.
A simple record is different from a customer account
The demonstrated New Customer form requires a First Name; last name, email, and phone are optional. This keeps staff-managed records practical when a customer is standing at the desk or calling to book.
If an email is added, the customer can receive an invitation offering account creation. The customer still needs to complete the registration and verification steps. A record created by staff does not automatically give someone a verified login or password.
Self-registered customers can sign in to book and review their own appointment history. Staff-created records support internal tracking and appointments managed by the business.
Find a customer and review their history
Open Customers and search by name, email, or phone. The directory offers grid and table views. Open the profile to review visit information and Appointment History, including upcoming, past, and cancelled visits.
There is another useful route: open an existing calendar appointment, then select the customer's name in Appointment Details. Their history opens from the appointment, making it easier to answer questions without a separate directory search.
Keep private notes private
Use private notes for staff-only context and follow the permissions available to the signed-in user. Do not place internal observations in customer appointment messages or invoice notes that customers can see.
If an invitation or verification email is missing, check the entered email and the customer's spam folder. Do not create duplicate records simply to retry account access.
Customers who want self-service access can follow customer registration and email verification.
